About the Role:
We are seeking a highly skilled and detail-oriented professional (male or female) to join our team as a Tender Management Executive. The ideal candidate will be responsible for managing tender processes on various portals like GeM, n-procure, and others. This role requires a deep understanding of tender bidding, documentation, and compliance, along with the ability to build strong relationships with government departments and other clients. The candidate will play a key role in ensuring timely and successful tender submissions, driving business growth, and maximizing profitability through tender business.
Key Responsibilities:
1. Tender Portal Management:
o Log in to tender portals (GeM, n-procure, etc.) daily to identify and select appropriate tenders as per eligibility criteria.
o Study and analyze tender documents to ensure compliance with eligibility, volume, product, delivery location, pricing, terms and conditions, EMD details, submission deadlines, pre-bid meetings, and opening dates.
2. Tender Bidding Process:
o Own the end-to-end tender bidding process, including documentation, submission, and follow-ups.
o Ensure timely and accurate submission of tenders with all required details, including company profile, product information, proposals, and supporting documents.
3. Customer Engagement:
o Approach government departments and other clients professionally to differentiate from competitors.
o Arrange meetings with clients at their premises to discuss tender requirements and present solutions.
o Organize client visits to the company’s plant and experience center for product demonstrations and touch-and-feel experiences.
4. Follow-Ups and Lead Conversion:
o Maintain regular follow-ups with departments and clients to build relationships and convert tenders into business.
o Set up PR (Public Relations) activities to strengthen client relationships and ensure repeat business.
5. Data Management and Reporting:
o Maintain a comprehensive database of all shortlisted and submitted tenders, including their progress and status.
o Prepare and share tender summaries, reports, and suggestions based on defined criteria and USPs.
6. Documentation and Compliance:
o Ensure perfect documentation and keep updating required documents based on tender requirements.
o Participate in reverse auctions and manage L1 and link generation processes.
7. Reseller and OEM Management:
o Manage OEM panel approvals/rejections and vendor code creation.
o Handle reseller management and ensure smooth coordination with partners.
8. Incident Management:
o Address and resolve incidents related to tender processes as and when required.
9. Product and Invoice Management:
o Add products to portals as per tender requirements.
o Ensure timely invoice generation and follow-up on payments.
10. Business Growth:
o Focus on maximizing profitability through tender business.
o Participate in unlimited tender submissions (GeM + Non-GeM) and share tender suggestions regularly.
Qualifications and Skills:
• Bachelor’s degree in Business Administration, Marketing, or a related field.
• Proven experience in tender management, business development, or a similar role, with expertise in GeM, n-procure, and other tender portals.
• Strong understanding of tender processes, documentation, and compliance requirements.
• Excellent communication, negotiation, and interpersonal skills.
• Proficiency in MS Office (Excel, Word, PowerPoint) and tender management tools.
• Self-motivated, detail-oriented, and capable of working under tight deadlines.
• Knowledge of reverse auctions, L1 processes, and link generation.
Preferred Attributes:
• Prior experience in tender management and government bidding processes.
• Knowledge of the modular furniture sector will be an added advantage.
• Strong analytical and problem-solving skills.
